Client Care & Operations Coordinator (Melbourne, Full Time – Hybrid)
Rachel Donath is a premium Australian furniture and design house known for timeless, artful collections that blend contemporary form with storied character. We are seeking a Client Care & Operations Coordinator to play a pivotal role in both the production process and customer experience across Australia and the US. This hybrid role ensures seamless product flow from production to delivery, while providing the premium service our brand is known for.
About the Role
This full-time hybrid role (2 days in-office, 3 days from home) is ideal for someone who thrives in both operational coordination and client care. Reporting to the Operations Manager, you’ll act as a key link between manufacturers, logistics partners, internal teams, and customers, keeping things running smoothly behind the scenes while also delivering exceptional service to our retail, trade, and wholesale clients.
You will be responsible for:
Customer Service & Client Care

Be the first point of contact for client enquiries via email and phone, delivering timely and premium support.

Manage quotes, orders, returns, and claims with care and efficiency.

Keep clients updated on shipping timelines and provide samples as needed.

Support the sales team with reporting and admin to nurture every opportunity.
Wholesale & Trade Support

Assist trade and wholesale partners with orders, invoices, payments, and delivery support.

Maintain stock feeds and update product availability across Shopify platforms.
Production & Supply Chain Coordination

Create and manage purchase orders in Cin7 and coordinate production schedules for AU and US.

Liaise daily with manufacturers, freight partners, and 3PL warehouses to ensure on-time, in-full deliveries.

Support quality control timelines and container planning with the operations team.
Inventory & Systems Management

Maintain stock accuracy across Cin7 and Shopify.

Process invoices and shipping documentation, keeping records up to date.

Support forecasting and process improvements alongside the Operations Manager.
About You
We’re looking for someone who is proactive, detail-oriented, and confident managing both customers and operations. You’ll enjoy balancing relationship-building with problem-solving, and thrive in a fast-paced environment where no two days are the same.
You bring:

2–4 years’ experience in operations, customer service, or supply chain coordination (ideally in design, retail, or luxury industries).

Strong organisational skills with the ability to juggle competing priorities.

Confidence working with systems like Cin7, Shopify, or similar.
